How to Run a Badminton Club

1. Get the basics right before opening the door
The dull bit, but it's the bit that decides whether your club survives the first six months.
Venue
You need a sports hall with proper badminton court markings, a ceiling high enough that a clearing shot doesn't hit it (8 metres is the official minimum), and the lighting wired so it doesn't blind whoever's at the back. Most clubs hire from a leisure centre, school or community hall on a recurring slot — Tuesday 7–9pm, that sort of thing. Lock in the slot before you do anything else, because nothing kills a club faster than "we're not sure where we're playing next week".
Negotiate hard: ask for a discount on a 12-week block booking, and ask whether you can store equipment on-site between sessions. Hauling a bag of shuttles and net posts in and out of your boot every week gets old very quickly.
Equipment
For a typical session you need: nets and posts (the venue usually supplies these — confirm in writing), feather or nylon shuttles (feather flies better, nylon lasts longer, you'll argue about this forever), a first aid kit, and a way to mark the queue. That's it. Don't kit out a kit cupboard before you have members; buy what you actually run out of.
Format
Decide upfront whether you're running open play (turn up, get matched, rotate through games — easy entry, lower commitment) or session-based / structured (bookings ahead of time, fixed teams or ladder, more competitive). Most successful clubs lean open play for week-night social sessions and reserve structure for ladders, leagues or tournaments on the side. Don't try to be both at once on a single court night; players hate ambiguity about whether they're queueing or scheduled.
2. Build a member base that turns up
You can have the best venue in town and it won't matter if eight people rattle around in it. Getting members through the door is the single biggest job in the first three months.
Where to recruit
- Local Facebook groups — town pages, "things to do in [town]", and existing racket-sport groups. A short post with a photo and a clear "next session is Tuesday 7pm, £6, beginners welcome" converts surprisingly well.
- Your national governing body's club finder — for the UK, that's Badminton England (and the Scottish, Welsh and Northern Irish equivalents). Affiliating gets you listed, which sends a slow but steady stream of people who searched "badminton near me".
- Workplaces and universities — most have a noticeboard or Slack channel for sports. Pin a flyer.
- Word of mouth — by month three this should be your biggest source. Build a club people want to invite their friends to.
Make joining painless
The slowest way to lose someone interested in your club is to make them email you, wait for a reply, then fill in a paper form on arrival. The fastest way to convert them is one link or QR code that signs them up to the roster, shows the next session, and lets them pay if they want to commit. Whatever tool you use, optimise for the "five seconds from interested to in the roster" path.

3. Decide how you'll collect money
Most new club hosts dread this part more than they need to. There are really only three models worth considering, and you can mix them.
Pay-per-session
Players pay £5–£10 each time they come. Pros: fair for irregular attendees, easy for one-off guests, no awkward "I haven't been in a while can I pause" conversations. Cons: your cash flow is jagged, and chasing money on the night is the single most thankless job in club running. If you take cash, someone is always £2 short and "will get you next week".
Monthly membership
A fixed monthly fee that covers unlimited sessions. Pros: smooth, predictable income; less admin per session; encourages regular attendance. Cons: doesn't suit shift workers, students or anyone who attends sporadically. They feel they're overpaying and they're often right.
Hybrid (recommended for most clubs)
A discounted monthly membership for regulars, plus a guest rate for one-off players. Best of both worlds, and the only mild complication is keeping track of who's on which plan — which is where software earns its keep.
What to charge
Work backwards from your venue hire. Divide the hire cost by a realistic attendance number (not your aspirational one), add 10–20% for shuttles and incidentals, then round up to a round number. Charging £6 instead of £5.75 saves you twenty minutes of awkward maths every single week and nobody has ever quit a club over twenty-five pence.
4. Run a session that feels fair
This is where a club either grows by word of mouth or quietly hollows out. Players will forgive a slightly expensive fee or a dodgy court. They will not forgive feeling like the queue is rigged or that the same four people hog the nicest court for two hours.
The queue
The traditional whiteboard with names in marker pen still works — but it relies entirely on whoever has the energy to keep it updated, and quietly favours people who hover near it. The modern alternative is a digital queue: players tap to join, see their position, and get called to a court when one frees up. Nobody is policing it; nobody can quietly skip the line.

Matching players
Fair matchmaking is the single biggest factor in retention. Beginners who keep getting roasted 21–3 by a county player will stop coming back; advanced players who keep getting paired with people who can't return serve will get bored. You don't need a complicated rating system on day one — even loose tiers (Beginner / Improver / Intermediate / Advanced) make a huge difference.

Court rotation
Set an explicit rule for how long a game lasts before the winners leave the court — 15 minutes is typical, or "first to 21". Without a rule, the dominant pair plays for an hour while everyone else stares at them.
5. Keep people coming back
Retention is cheaper than acquisition, in clubs as in everything else.
Communicate in one place
If you're juggling a WhatsApp group, a Facebook event, an email list and a group chat in your camera app for the after-session pub photos, members will miss things. Pick one channel and use it for everything: session reminders, cancellations, ladder updates, social plans. The single biggest source of "I didn't know the session was off" frustration is messages scattered across four apps.

Schedule sessions ahead
"Same time every week" is the bare minimum. Better is a calendar showing the next 4–8 weeks, including the weeks you're not running because the hall is booked for a school play. Members plan around it; regulars look forward to it. Make it social
The clubs that retain best are the ones where people make actual friends. Run a post-session pub night once a month. Do a Christmas social. Take photos at sessions (with consent) and post them in the chat. None of this is software's job, but software shouldn't get in the way of it either.
6. Stay legal and safe
The boring section, written quickly because most of it is well covered elsewhere by your national governing body.
Insurance
Public liability insurance is strongly recommended for any club running sessions in a hired venue. Many venues require it as a condition of booking. The cheapest route is to affiliate to your national governing body — for the UK, that's Badminton England, Badminton Scotland, Badminton Wales or Ulster Badminton — which usually includes a basic policy. Read what's actually covered, because affiliation cover is often a floor rather than a ceiling.
Safeguarding
If you run sessions for under-18s, you need a safeguarding lead, DBS-checked coaches and a written policy. Your governing body publishes templates — don't try to write it from scratch.
Data protection (GDPR / UK GDPR)
The moment you store members' names, emails or phone numbers, you're a data controller. The practical implications: have a short privacy notice (one page, not a legal essay), don't share personal data with third parties without consent, and let members delete their account on request. Money handling
If you take more than a trivial amount of money, open a separate bank account for the club — don't run club fees through your personal current account. Even if you're constituted as an informal members' club rather than a charity, mixing your money and the club's money is the fastest way to a difficult committee meeting in two years' time.
7. Grow without burning out
The reason most volunteer-run clubs collapse isn't lack of members. It's that the one person doing all the admin gets tired and quits. The job for the founder is to systematically remove themselves as a bottleneck.
- Spread the load. Don't be the only person who can run a session. Train two or three "deputy hosts" who can open up, take attendance and lock up if you're away.
- Automate the boring stuff. Payment chasing, session reminders, queue management, refund processing — all of this can be a tool's job. If it lives in your head or in your phone, it falls over the moment you're on holiday.
- Write things down. A one-page "how this club runs" doc — venue contact, payment login, key codes, emergency numbers — protects everyone if you're suddenly unavailable.
8. The tools that actually save time
You can run a small badminton club on a spreadsheet, a WhatsApp group and a shoebox of cash. Plenty of clubs do. It works at 15 members. It starts creaking at 40. At 80 it's a part-time unpaid job for whoever drew the short straw.
